Terms of service
The plain-English basics of using Woodland Notes. We'll keep this short and fair.
1. About these terms
These terms cover your use of Woodland Notes. By creating an account or using the service you agree to them. If you're setting Woodland Notes up for a provider, you're agreeing on that setting's behalf.
2. What Woodland Notes does
Woodland Notes helps you plan and run forest-school sessions and keep the related records. It supports your record-keeping; it doesn't replace your professional judgement. Your setting remains responsible for its own compliance, safeguarding and duty of care.
3. Accounts
Practitioners — leaders, assistants and volunteers — can use Woodland Notes on a free account. You're responsible for keeping your login secure and for activity under it. Keep your details accurate.
4. Settings & billing
The setting is the billing account. A freelance leader running their own provision is a one-person setting and holds the subscription themselves. Paid plans are billed monthly in advance through our payment provider; prices are shown excluding VAT, which is added at checkout. We'll give reasonable notice of any price change.
5. Free trial
New settings start with a 14-day free trial, no card required. If you don't choose a plan by the end of it, your account isn't deleted — it becomes read-only until you do, so your records are never lost.
6. Cancelling
You can cancel anytime from your settings. You'll keep access until the end of the period you've paid for, and you can export your records. We don't delete a setting's records on cancellation without notice.
7. Your data & ownership
Your records are yours. Your setting owns the data it enters, and we process it only to provide the service (see our Privacy page). We own the Woodland Notes software and brand.
8. Acceptable use
Use Woodland Notes lawfully and as intended. Don't misuse it, attempt to break its security, or use it to store data you have no right to hold. You're responsible for the accuracy of the records you enter.
9. Availability
We aim to keep Woodland Notes running reliably, and the field app is built to work offline. Syncing, billing and the web back-office need an internet connection, and we can't guarantee uninterrupted service.
10. Liability
Woodland Notes is provided with reasonable care and skill. To the extent the law allows, we're not liable for indirect or consequential loss. (Final liability wording to be set with legal advice.)
11. Changes & governing law
